  • Status of the website

  • Ability to do call for speakers

  • Finalize keynotes

  • Marketing plan

 

Keynotes

Last keynote speaker is yet to confirm his arrival.

The outline of the agenda schedule was made during the meeting and will be discussed at the next meeting when everyone is available.

A committee will be formed to take care of all session selections etc.

Deadlines for session submissions and selections was set. Session submission is open August 1st. Deadline for submissions is September 9th. Everyone will receive a response by September 23rd. 

The team decided to keep last years categories for session submission.

Website

The website was almost done, but a few pages were missing text, therefore the team decided to work on it during the meeting.

The session submission page and text was completed. The first keynote speaker was added to the site. The team page was updated.

 

Marketing

The team agreed to start revealing keynote speakers.

Brian volunteered to give the print programme a shot this year.

 

Project management

Project management tools was discussed and Asana.com was selected to help the team keep track of todos and deadlines.
TJ made the setup during the meeting and all members started adding their todos.

 

 

Todo:

  • Jerri: Finish the website, update the texts and get it live

  • Matt: volunteered to take care of text for the about page

  • Ronni: Suggestions for pre party locations

  • Mike & TJ: Finalize the menu options

  • Britta: Finalize content for the sightseeing tips

  • Mathias: Finish the conference banners

  • Brian: Get confirmation from this year's AV volunteers, alternatively look for new ones

 

Agenda suggestions for next meeting:

  • Review the AV purchase suggestions prepared by Brian

  • Review the menu options

  • Discuss the pre-party location

  • Discuss the final agenda / schedule structure and form a committee with responsibility thereof plus discuss request we had for a certain workgroup

  • Go over the marketing plan

  • Final vote on JWC17 location
